Project Management
Project turn over:
Upon the notification that we are a selected contractor on a project we begin a proactive planning process to insure a smooth and successful start to a project.
A meeting is held between the project management team and estimating team. This turnover meeting is for the purpose of transferring information about the scheduling, manpower loading, material selection and requirements, and selections that were made for the estimate, as well as plan review.
Project Planning:
The project management team will compile all information from the plans and specs and estimate to select and procure materials and equipment, request submittals delivery shipping schedules, safety issues and equipment needed, material handling and storage. This information will be used to create the schedule and manpower loading requirements for the project.
A field project team will be selected based on the project requirements and the experience of the field foreman.
Once the selection of the field project team is completed a turnover meeting will be performed. The General Contractor and other Sub-Contractors are invited to attend and participate with the turnover to our field personnel to discuss site logistics, material handling, safety issues, critical path items, milestone dates, schedule coordination and deadlines.
Submittals:
All submittals are received by the Project Manager and our Submittal Coordinator, who checks them for conformity with plans and specifications, completeness and coordination with other trades, and transmits the submittals to the General Contractor’s Representative for approval. A Submittal Log is used to document all transactions in the submittal process and to keep track of all submittals.
Every effort is made to expedite the submittal procedure and make sure it is accomplished in a timely fashion.
Project Management
In the past we have used many different types of phasing techniques. Most often we use a work classification system approach. This breaks the work down by the type of work involved and the area in which it will be performed. We then will integrate the various work classifications in each area to compile the finished schedule.
Each project is assigned a dedicated Project Manager. The Project Manager is selected based on experience with the type of project being done. The Project Manager is assisted by a dedicated Project Manager Assistant, the Submittal Coordinator and overseen by the Operations Manager as well as the company President.
Weekly in-house project meetings are conducted. This allows all our project teams to get together to discuss projects and share information.
Project Manager and field Foremen have weekly meetings to discuss the progress and issues on the project as well.
Yearout Mechanical uses Primavera Expedition v.9.14 for all of our projects document control; this includes submittal tracking, changes orders, requests for information, etc.
We use Primavera SureTrak to schedule our projects, it is 100% compatible with Primavera Expedition v.9.14, and provides downloading and integrating functions. We also use Microsoft Project for scheduling, which is also compatible with Expedition.
Construction Phase:
The field project team will make determinations as to the proper access for materials to the site and storage; this is all part of our material handling procedures.
The field project team will work with the General Superintendent to coordinate flow of project, manpower requirements, schedule changes and best practices in the field.
We employ a Best Practices Manager to provide the project team with a dependable, detailed and consistent inspection of materials, equipment and systems to facilitate an efficient and profitable installation process that concludes with a clean and problem free start-up process.
